Which contractors should a building-material supplier contact first?

Compare five example accounts using trade fit, service territory, recent permit evidence, and the questions that must be answered before outreach.

All five companies are fictional teaching profiles. The order illustrates a supplier workflow, not a ranking of real contractors.

Set the branch question first

Assume a supplier serves Seattle commercial interiors and wants to identify firms doing relevant alteration work. The immediate task is deciding which account deserves research. A permit is evidence of recorded activity; it is not proof of an open material order or a purchasing decision-maker.

Five profiles, five different decisions

Five profiles, five different decisions

Cedar Interior BuildRecent local commercial alteration; identity matched; purchasing stage unknownResearch first: relevant work and territory.

Northline ProjectsStrong trade fit; records outside branch territoryRoute to the relevant branch.

Use gates before a score

First exclude unsupported identities and work you cannot serve. Then compare recency, relevant trade scope, account ownership, and the quality of the evidence. If a record belongs to an existing customer, route it to the responsible representative. Do not let a large permit valuation override an unresolved business match.

Cedar is the first research choice in this example, not an endorsed contractor or a sales-ready lead. The next questions are who performs the relevant work, whether purchasing has already occurred, and who is authorized to discuss supply.

Write the handoff note

“Reason to investigate: recent commercial alteration in service territory. Source and observation date recorded. Company role matched in available records. Purchasing timing and contact authority unresolved. Owner: branch account researcher. Next action: verify project team and existing account history.”

Save the source URL and permit identifier beside the note. Recheck the source before relying on an older snapshot. Missing work in your covered jurisdictions is not evidence that a company is inactive everywhere.
